SmartRecruiters Integration requirements and responsibilities

The integration is entirely set up by the customer (as SmartRecruiters and Employee Referrals Admin User) without the intervention of Employee Referrals or SmartRecruiters teams.

The following steps are required:

  1. Configure your Employee Referrals and SmartRecruiters accounts

    a. Configure custom job fields

    b. Configure values in Employee Referrals

    c. Configure custom candidate fields in SmartRecruiters
  2. Generate a new API Key

1. Configure your Employee Referrals and SmartRecruiters accounts

To allow the automated publishing of your job posts from SmartRecruiters to Employee Referrals, you need to make sure that departments, locations, brandings, rewards, and recruiters are correctly set up in Employee Referrals. The exact same values have to be listed in both accounts.

Without this information, the job import is still possible, however, jobs will only be imported to drafts.

a. Configure custom job fields in SmartRecruiters

Follow the instructions in order to create custom job fields.

Add the following new fields:

Post Job to Employee Referrals

Type:
single select
Category:
job
Value:
yes
no

Location (optional*)

Type:
single select
Category:
job

Department (optional*)

Type:
single select
Category:
job

Reward (optional)

Type:
single select
Category:
job

Branding (optional)

Type:
single select
Category:
job

*If you already have existing fields in SmartRecruiters that serve the same purpose, e.g. for the department or location, you do not have to add an additional custom field for Employee Referrals only.

b. Configure values in Employee Referrals

Now log in to your Employee Referrals account as a Company Admin.

To add location and department values, go to Account Preferences > Settings > General. Here you can create Locations and Departments. Please add all the values present in your SmartRecruiters account (read more here).

To add the branding for your job ads, go to Account Preferences > Branding > Job Advert and create them (see how here). The name of the branding should be the same as the values added in SmartRecruiters for the Branding field.

To add the rewards plan, go to Account Preferences > Reward Plans and create them (see how here). The name of the reward plans should be the same as the values added in SmartRecruiters for the Reward field.

c. Configure custom candidate fields in SmartRecruiters

If you would like to have Talent Scout's name and feedback imported into Smartrecruiters, please add the following fields:

Talent Scout name

Type:
free tex
Category:
Candidate Fields (Candidate Profile)

If you would like to give the option to Recruiters to rate the candidates directly in Smartrecruiters, please add the following fields:

Recruiter Rating

Type:
single select
Category:
Candidate Fields (Candidate Profile)
Value
1 plus point
2 plus points
3 plus points

Recruiting Rating message to Talent Scout (optional)

Type:
free tex
Category:
Candidate Profile

Step 2: Connect the Accounts

Create a new admin user in SmartRecruiters.

You do not need to share the credentials with the Radancy team, but you will use them to connect to your Employee Referral account with the new user account and NOT with your own user account.

Access the "Account Preferences" in Employee Referrals and go to "Integrations". Here you can find the SmartRecruiters tile. Click on "Connect" and log in with the new user that you created in Step 2. Click on "allow access", switch back to Employee Referrals, and click the checkbox to enable the integration.
